Why the product exists

Walk into a busy school office in Monrovia and you will usually find the same four things: a fees book, a stack of registers, a WhatsApp group doing the work of a records system, and a bursar being interrupted by a parent who wants to know what is still owed.

None of that is anyone's fault. It is what happens when the school has no system and the term will not wait. But it costs the school real money and real time: the same figures are written down four times, a report card takes a week to reach a family, and an absence that nobody followed up becomes a pupil who stops attending altogether.

ExalyCampus was built to work with the school office rather than around it. One record, entered once, then used everywhere it is needed — the register, the fee balance, the report card, the notice to a guardian.

These are not slogans. They are the reasons the product is shaped the way it is.

  • The records belong to the school

    A school's roll, marks and fees are the school's business. There is no public sign-up to ExalyCampus, and one school cannot see another school's records. We do not publish a school's name or numbers without written permission.

  • We keep the records — we do not hold the money

    A school's fees are collected the way the school already collects them. ExalyCampus is not a wallet and not a bank: nothing is paid into it and nothing is paid out of it. It keeps the record, the balance and the history, and leaves the money where it belongs — with the school.

  • It has to fit the machines the school already owns

    Most schools we speak to have a Windows computer in the office and Android phones in their pockets. So that is what ExalyCampus is: a Windows desktop app and an Android app, reading and writing the same records. Nothing new to buy to get started.

  • The day's work cannot depend on a technician

    If the bursar needs somebody from town to produce a receipt, the software has failed. Marking the register, writing a receipt and publishing a report card are ordinary jobs an ordinary office can do.

  • The benefit has to show up the same week

    Software that only pays off at the end of the year gets abandoned in the first term. The office should feel the difference the first time a parent asks for a balance and the answer is on the screen.

  • Nothing should be editable behind the school's back

    The day's register is saved and then locked read-only; only an administrator can reopen it. That protects the teacher and the head — the record stands as it was made.

  • Plain language, honest scope

    We list what the product does and we stop there. If a school asks for something ExalyCampus does not do yet, we say so instead of promising it in a proposal.

How it is built

A Windows app, an Android app, one set of records

The office works on a Windows desktop application. Staff who are moving around the compound use the Android app. Both read and write the same records, so a register marked on a phone in the morning is the same register the office sees after break. An iPhone and iPad version and a browser version are on the way; we say which platform a school can have today rather than leaving it to be discovered after signing up.

Around that core sit the jobs a school actually does. The roll, with guardians, classes, divisions, sessions and a printable pupil ID carrying a QR code. Attendance per class per day, for pupils and for staff, with the day locked read-only afterwards and absence notices going to guardians. The week's routine built period by period, exams with their grade sheets, a grade book that is submitted into the year's report, assignments set and graded in the subject forum, and report cards published per period.

Then the money, with the approval steps a bursar needs on the record rather than in a conversation: payment types and periods, receipts, balances and payment history, adjustments, expenses approved or rejected with the receipt attached, and payroll run by period — prepared, submitted for approval, approved as a batch and marked paid.

And the rest of the school's day: a notice board with audiences, messages, push notifications and e-mail, and chat one to one and in groups. Rounding it out are the library, the bus fleet and its drivers, boarding houses with their rooms and wardens, a register of the school's own documents — receipts, payslips and report cards — with the office deciding what a family may see, and dashboards that lead with the roll, earnings and results.

When somebody is not sure how a job is done, an assistant inside the app answers there and then — so a new member of the office is not left waiting for a call-back, or ringing the studio over a question the system can settle. And because a school's books have to stand up to a board or an auditor, the fees, adjustments, invoices and payroll all keep their approvals on the record rather than in a drawer of paper.

Behind all of it are positions and permissions: the school decides what each post can do, and the menu itself follows that, so the bursar, the registrar and a class teacher each work in their own view.

Where the records live

Your school's records are kept on Google Cloud Platform, the same class of infrastructure the world's banks and airlines run on, protected by encryption in transit and at rest. There is no public sign-up, no public list of schools, and no way for one school to read another school's records.

We keep records — we do not hold money. Nothing is paid into ExalyCampus and nothing is paid out of it. Fees continue to be collected exactly as your school collects them today.
