One register instead of four books
Attendance is marked per class, per day — present, absent or late — then saved and locked read-only, so a mark cannot be changed quietly after the fact. An administrator reopens the day if a genuine correction is needed, and the guardians of an absent pupil are told.

The fees book finally adds up
Payment types and periods, receipts, balances, invoices and payroll live together — and the approvals stay on the record: an invoice is approved or rejected with it attached, and payroll is prepared for a period, submitted, approved as a batch and then marked paid. The books are there to be audited, not reconstructed from a drawer of paper at the end of the month.

The roll
Who is in the school, and everything that hangs off the pupil record.
- Pupils and guardians
Name, roll number, class, division, session, guardian and telephone, with a photograph. A pupil's page also holds their admission date, blood group, guardian and medical notes.
- A pupil ID with a QR code
Each pupil gets a printable ID card carrying a QR code the office or the gate can scan.
- Teachers and other staff
A staff directory, so payslips, staff attendance and permissions have somebody to belong to.
- Classes, divisions and sessions
Classes with their sponsor, president and capacity, and the divisions and sessions the whole year's record is kept against.
The school day
The register, the timetable, the marks and the report cards.
- Attendance, with the day locked afterwards
A register per class per day — present, absent or late — with a reason recorded for an absence and a one-touch “mark all present”. The day is saved and then locked read-only; only an administrator can reopen it.
- Absence notices to guardians
A pupil marked absent can be notified to their guardians the same day, instead of the office chasing later.
- Staff attendance too
The same register for teachers and other staff, not just pupils.
- Routine and timetable
The week's routine built period by period, for each class.

Marks entered per subject, session and division, saved as they go and then submitted into the year's report.

A teacher sets an assignment with a due date and a window in which pupils may still change their answer; pupils submit, and the teacher grades the submissions.

A yearly report per pupil, published per period and readable by the pupil and their guardians.
The money
Fees, invoices, payroll and the approvals behind them. ExalyCampus keeps the records of money — it never holds or moves it.
- Payment types and payment periods
The types of payment the school accepts and the periods they fall in, so fees have deadlines rather than guesses.
- Receipts, balances and history
Total due, paid and outstanding balance for each pupil, with the full history log of every payment while the pupil is enrolled.
- Adjustments
The bursar posts an adjustment against a fee record instead of quietly editing a receipt.
- Invoices, approved or rejected
Money going out is entered as an invoice with its type, amount and date, then approved or rejected, with the invoice or receipt — a photograph or a PDF — attached to the record.
- Payroll by period
Payroll is prepared for a period, submitted for approval, approved or rejected as a batch, then marked paid — with base pay, bonus, deductions and net pay for each employee.
- Financial audits
The fees book, adjustments, invoices and payroll all sit in one system with the approval attached to each entry. When the head, a board or an auditor asks how a figure was arrived at, the answer is on the record — not assembled from receipts afterwards.
- Payroll and payment history
Every staff payment stays on the employee's own page, so a question about last term has an answer.
- What the school spent
Earnings and spending summarised with a chart, so the month can be seen at a glance rather than reconstructed from receipts.
- Your money stays yours
ExalyCampus does not hold, receive or move money for your school. Fees are still paid the way you take them today — the system writes down what happened, keeps the balance and the history, and leaves the money where it belongs.
Reaching families
Notices and messages between the school, its staff and its families.
- The notice board
Notices with a category and a chosen audience — a class, the staff or the whole school — and the date they were posted.
- In-app messages, push and e-mail
A notice or a reminder arrives as a message inside the app, as a push notification on the phone or computer, and as an e-mail to the school's own mail accounts.
- Chat, one to one and in groups
Conversations between staff with unread counts and search, instead of the school's business living in personal WhatsApp groups.

SMS is not switched on yet. When it is, guardians who do not use the app will still get the message — we will tell schools as soon as it is live.
The office
Documents, the library, buses, boarding houses, reports and permissions.
- The document register
Receipts, payslips and report cards collected in one register, with the office deciding what a family may see.
- The library
The book catalogue by name, writer, subject, class, division and session.
- Transport
The bus fleet and its routes: route, bus number, driver, the driver's telephone and whether the bus is in service — with totals for buses, seats and vehicles in maintenance.
- Boarding houses
Rooms by building, floor and type, with the number of beds, how many are occupied and which warden is responsible — and totals for rooms, beds and space left.
- Dashboards and reports
The head's dashboard leads with pupils, teachers, parents and earnings, then the roll broken down by class and by boys and girls, all exam results, and the star students for the year. A pupil sees their own attendance, grades, timetable and financial history.
- Positions and permissions
The school decides what each post can see and do, and the menu itself follows that: a bursar, a registrar and a class teacher each get their own view.

The grade breakdown for the year (the points must add to 100), divisions, sessions, payment types and fee structures.

When someone is not sure how a job is done — where a balance lives, how to reopen a register, what happens at the end of a period — they can ask the assistant in the app and get an answer there and then, instead of waiting for a call-back or asking the same question twice.

What it costs
Two dollars a student and staff member a year — less 10% for every school.
So the rate is $1.80 a person. Guardians are free, and there is no limit on them. Every school gets every part of ExalyCampus — there is no smaller version and nothing held back.
Or work it out yourself: however many pupils and staff you have, times two dollars, less ten per cent.
Pay it monthly, every term, every semester, or as one payment for the year — the total is the same, and nothing extra is charged for spreading it out.
Set-up is included: your school's account, your classes, subjects, terms and report cards, your pupil list brought across from whatever you use now, and training for your office and your teachers.

How it runs
Built for the school's own machines
A Windows desktop app for the office and an Android app for the people moving around the compound. One set of records behind both — with an iPhone and iPad version and a browser version on the way.
- No public sign-up. ExalyCampus is not a website holding your pupils' marks: there is no public list of schools, and one school cannot see another school's records.
- Positions and permissions. The school decides what each post can see and do — the bursar's view is not the registrar's.
- Attendance that cannot be edited quietly. The day's register is saved and locked read-only, and only an administrator can reopen it.
- Families reachable from the same screen. Notices by in-app message, push notification and e-mail, with absence notices and report cards going to guardians, and chat between staff inside the app.
